/coach-notify

The plugin's one outbound-comms primitive: builds a deduplicated recipient distribution list from Canvas and directory sources, and composes redacted stakeholder email drafts you send yourself.

One skill for both halves of outbound comms: everything that leaves Canvas for an inbox flows through it. dl mode builds a deduplicated recipient distribution list from the item’s Canvas team and stakeholder fields plus Workday and Outlook directory lookups, driven by a role spec, and writes a CSV plus a markdown table. draft mode auto-composes a stakeholder email, the Canvas link, item reference, the ask, and the due date, pre-populating recipients from a roster, an explicit list, or the item’s team and watchlist. Every draft runs through the canvas-redactor agent before delivery, and the skill never sends: it produces a Gmail, Outlook, or clipboard draft, and you hit send.

When to use

Whenever you want to notify, nudge, remind, or email a stakeholder about a Canvas item or workflow Step, or to build a distribution list for a report, attestation, or committee. The modes compose: build the roster, then draft to it.

  • /coach-render-package delegates its distribution step here: after packaging, it runs dl mode so the rendered package lands with a ready roster.
  • /coach-workflow-monitor pairs from the other side: it sweeps step status and names who to nudge; draft mode writes the nudge to that person.
  • For an ad-hoc redaction pass outside a draft, use /coach-redact.

Inputs

--item <id> Yes The item being distributed or notified about. In draft mode may be a Step, prefixed step:<id>.
--dl <spec> dl mode A named role set (board, audit-committee, management, broad), an explicit comma-separated role list (cco,gc,external-regulator-liaison), or custom.
--out <path> No dl mode output. Defaults to .coworkcanvas/dls/<item-slug>-<spec>.csv plus a sibling .md.
--recipients <id|email,...> No draft mode; if unset, derived from the item’s team / watchlist, or pass --dl to build the roster first.
--template default|urgent|reminder No draft mode tone. Default default.
--via gmail|outlook|clipboard No draft mode delivery channel. Default clipboard.

The flags pick the mode: --dl alone builds a distribution list; composition flags (--template, --via, --recipients) compose a draft; --dl combined with composition flags builds the roster first and drafts to it.

Example

/coach-notify --item AUD-7 --dl audit-committee --via outlook builds the deduplicated audit-committee roster, resolving each role from the item’s Canvas custom fields first, then Workday, then Outlook, composes a draft referencing AUD-7 with its Canvas link and due date, runs the redaction gate over the subject and body, and creates an Outlook draft. It ends with the recipient count, the delivery channel, and the draft location; you review and send.

Good to know

  • Never sends. The skill carries no send tool: the send_message MCP tool is excluded from its surface, and create_draft is the only email call it ever makes. Drafts only, in both modes; you hit send.
  • Redaction is not optional. Stakeholder emails quote Canvas content to external parties, auditees, process owners, regulators, so the same canvas-redactor gate that protects exports and support tickets runs over every draft. It halts on needs_user, and the clipboard file is not an escape hatch: an unredacted draft reaches no channel.
  • dl mode is read-only over the directory. It looks up and dedupes recipients; it never modifies Canvas, Workday, or Outlook records, and makes no call on whether a person should be excluded.
  • SOX distributions get an AC-chair check. For SOX-relevant items in a board or audit-committee distribution, the skill verifies the audit-committee chair is included and warns if not.
  • The modes compose. For mass notifications, more than five recipients, run dl mode to build the list first, then draft to it, either in one invocation (--dl <spec> --via outlook) or by passing --recipients from the saved CSV.
